Quick email setup tips

Before you start

Copy & paste

Copy and paste passwords to avoid errors, as they're complex to increase security and email safety.

Enable SSL/TLS

Always enable SSL/TLS for secure, encrypted email.

Authenticate

Outgoing mail requires authentication with your full email and password.

Use IMAP

Use IMAP if you want email across multiple devices. Only use POP3 if you have one device.

Server auth

Tick the "My outgoing server requires authentication" box in your mail program.

Correct ports

Use port 993 for IMAP and port 465 for SMTP, both secured with SSL/TLS.

How to set up Gmail

10 quick steps for Gmail setup

  1. On your computer, sign in to the Gmail account you want to import to.
  2. At the top right, click Settings, then See all settings.
  3. At the top, click the Accounts and import or Accounts tab.
  4. In the "Check mail from other accounts" section, click Add a mail account.
  5. Type the email address of the other account.
  6. Click Next.
  7. Optional: if prompted, you can link your account with Gmailify or import your emails from your other account.
  8. Enter your username and password.
  9. Below where you enter your username and password, select the settings you want.
  10. Click Add Account.

You can't connect email accounts that don't support secure connections. You can import messages from another email account, but not any folders or labels.

How to set up Outlook

Quick steps for Outlook setup

New Outlook

If the steps under this section don't work, you may not be using new Outlook for Windows yet. Follow the Classic Outlook steps below instead.

  1. On the View tab, select View settings.
  2. Select Accounts → Email accounts. You can now add a new account.
  3. Under Email accounts, select Add Account, then select a suggested account from the dropdown or enter a different email address. Click Continue.
  4. If prompted, enter your password for the account and select Done.

Classic Outlook

These steps are the same whether you're adding your first email account or additional accounts.

  1. On the View tab, select View settings.
  2. Select Accounts → Email accounts. You can now add a new account.
  3. Under Email accounts, select Add Account, then select a suggested account from the dropdown or enter a different email address. Click Continue.
  4. If prompted, enter your password for the account and select Done.

How to set up Apple Mail

Set up mail on your iPhone or Mac

Try automatic setup first

If you use an email provider like iCloud, Google, Microsoft Exchange or Yahoo, Mail can automatically set up your email account with just your email address and password.

  1. Go to Settings → Apps → Mail, then tap Mail Accounts.
  2. Tap Add Account, then select your email provider.
  3. Enter your email address and password.
  4. If you see Next, tap Next and wait for Mail to verify your account.
  5. If you see Save, tap Save.

If automatic setup doesn't work

If Mail can't find your email settings, you need to enter them manually. Tap Next, then follow these steps:

  1. Choose IMAP or POP for your new account.
  2. Enter the information for Incoming Mail Server and Outgoing Mail Server, then tap Next.
  3. If your email settings are correct, tap Save to finish.

If you still can't set up your email account or save your email settings, contact your email provider.
